# Team management

> Invite team members and manage roles within your workspace.

Collaborate with your team by inviting members to your InboxMate workspace.

## User limits by plan

| Plan     | Users |
| -------- | ----- |
| Free     | 1     |
| Starter  | 1     |
| Pro      | 3     |
| Business | 15+   |

The limit counts active users plus pending invitations. See [usage and billing](/user-guide/workspace/usage-and-billing) for the full plan comparison.

## Roles

Every member of a workspace has exactly one role, assigned at invite time and changeable later by an admin or the owner.

| Role       | German label           | Can do                                                                                                                                                                                                 |
| ---------- | ---------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| **Owner** | Eigentümer | Everything an Admin can, plus: there is exactly one per workspace, and only the current owner can hand the role to someone else. |
| **Admin** | Administrator | Full access to all features including user management, account settings, agents, tools, and billing configuration. |
| **Member** | Mitglied | Can use agents, create chats, reply to and act on mail, and access the knowledge base. Cannot manage users, workspace settings, or billing. |
| **Viewer** | Betrachter (nur Lesen) | Read-only. Can see mailboxes and conversations that are shared with them, but cannot send, approve, archive, or otherwise act on anything — the same as having no permissions for any mutating action. |

<Note>
  Owner isn't a role you can invite someone into directly. New members are invited as **Viewer**, **Member**, or **Admin**. To make someone the owner, the *current* owner picks **Eigentümer machen** ("Make owner") next to their name in the Users table — this immediately demotes the previous owner to Admin.
</Note>

## Inviting members

Only Admins and the Owner can invite people.

1. Go to **Settings → Users** (the Active Users card)
2. Click **Invite User** — disabled once you've hit your plan's user limit
3. Fill in their **email**, **name**, and pick a **role** (Viewer, Member, or Admin)
4. Click **Send Invite**

The invitee gets an email with a link valid for 7 days. Opening it lets them create their account and join the workspace with the role you assigned. Until they accept, the invite shows up under **Pending Invitations**, where an admin can cancel it at any time.

An admin can change a member's role or remove them later from the Users table (**Edit** / **Delete** actions on each row) — except their own role, which only another admin can change.

## Assigning mailboxes to members

Mailbox access isn't part of the invite — it's configured per mailbox, after the person has joined. Each connected mailbox has its own sharing settings on **Mein Profil → Meine Postfächer**, in the connection's settings popover:

* **Mit allen im Team teilen** — share this mailbox's conversations with everyone in the workspace
* Or leave that off and pick specific teammates from a list — only they (plus the mailbox owner) can see it

Admins and the Owner can always see every mailbox in the workspace regardless of sharing settings; Members and Viewers only see mailboxes they own or have been explicitly shared into. See [Email integration → Sharing & ownership](/user-guide/inbox/email-integration#sharing-ownership) for the full mailbox-sharing guide, including temporary access grants for vacation cover.
