InboxMate connects to your team’s mailbox and takes over the busywork: it sorts every incoming email into your categories, drafts replies based on your knowledge base and past conversations, and hands you a short queue of suggestions to approve. As you approve — or edit — those suggestions, InboxMate learns which actions it can trust itself with, and you graduate the routine ones to run automatically. A website chat widget is available too, but for most teams email is where InboxMate starts.

Connect Outlook (or any provider via forwarding) and InboxMate categorizes incoming mail the moment it arrives — support requests, invoices, spam, whatever your business needs sorted.

Drafts replies in your voice

Using your knowledge base, the contact’s history, and your signature, InboxMate writes a reply draft for you to send, edit, or ignore.

Suggested actions — a draft reply, an archive, a category — wait in one queue. Nothing customer-facing goes out until a person approves it.

InboxMate can also answer visitor questions directly on your website through a branded chat widget, trained on the same knowledge base as your inbox. Most teams set up email first and add the widget later.

How it works

Connect your Postfach

Sign in and go to Mein Profil → Meine Postfächer → Postfach hinzufügen. One-click OAuth for Outlook / Microsoft 365 is the fastest path and unlocks full mailbox actions (send-as-you, mirrored drafts, mirrored categories). Forwarding and SMTP/IMAP also work.

Confirm your categories

InboxMate reads your recent inbound mail and proposes categories that match your real traffic — or start from a business template. Pick an aggressiveness level (Vorsichtig, Standard, Aggressiv, or Anpassen) to decide how much runs automatically versus how much waits for your click.

Watch it sort and draft

InboxMate immediately runs the new categorizer over your recent inbox, so you see real categories and real drafts right away instead of waiting for the next email.

Review in Entscheidungen

Every suggested action lands in the Entscheidungen queue. Click Ja to approve, Anders to adjust it, or Ignorieren to dismiss it — each decision is also a training signal.

Graduate to autopilot

Approve the same kind of action a few times and InboxMate nudges you: “Ab jetzt automatisch?” Click Ja, automatisch to graduate that rule, or Weiter fragen to keep reviewing it. Customer-facing replies stay human-approved until you make that call yourself.
